Planning a Conference in Dar es Salaam: A Simple Checklist

Dieser Artikel ist auf Englisch.

Numbers, the room, the day’s food and the small things that go wrong — a short checklist for a calm conference day.

A good conference day feels effortless to the people in the room. Behind it there is usually a short list of decisions made early. This is the checklist we share with organisers who book our halls.

1. Count your guests, then add a margin

Decide on a realistic number and choose the hall from it. At Nefaland Hotel, Mikumi takes up to 150 guests, Ruaha 150 to 200 and Kitulo 350 to 400. If your list is close to the top of a hall, choose the next size up — people bring colleagues.

2. Choose the layout

Rows of chairs (theatre) fit the most people for talks. Tables (classroom) are better for workshops where people write. A U-shape works for discussions with fewer people, and round tables for dinners and award nights.

3. Plan the food around the programme

Our conference package includes a morning and an afternoon tea break with snacks, a lunch buffet, Wi-Fi and three soft drinks per person, plus writing pads, a pen, a marker and a flipchart. Tell us about dietary needs a few days before.

4. Test the technology the day before

If you need the projector, bring your laptop and adapter and test your slides with our team. Keep a copy of your presentation on a USB stick.

5. Think about the people who travel

Speakers and guests from outside Dar es Salaam can stay in the hotel, a lift ride from the hall. Book their rooms together on the booking page, or ask us to hold a block of rooms.
